Bulk Load New MatchesPrintable

The EYSAReferees website will upload multiple matches at a time if you present it with a properly formatted csv (comma separated values) file. Microsoft Excel works well for this. (MacIntosh computers can have a non-compatible csv file format.)
    Create a new file using Excel. Header Row
    • The spreadsheet is required to have a header row.
    • This row contains the names of the fields to be uploaded.
    • These names are predefined (see below) but are NOT case sensitive.
    • The order of the elements in the header row do not matter.
    Matches
    • Matches are entered one per row under the Header Row.
    • The contents in each column must be valid (see below) or none of the games will upload.
    Saving the Match File
    • To save the match file csv format, you will need to select the csv format. This can be done by choosing "Save As", then selecting "Other Formats" and then selecting "CSV (comma delimited) *.csv".
    Uploading the Match File to the Website
    • Go to Scheduler: Database: Upload
    • Click the "Browse" button and find the Match File
    • Click "Upload File". This will transfer the file from your computer to the Website into a file named bulk.xxx.csv.
    Bulk Loading the Matches into the Database
    • Don't skip the previous steps to upload the match file to the website
    • Go to Scheduler: Database: Bulk Load
    • Under "Destination" choose "Matches"
    • Click "Validate". The website will now make sure it understands all the data in the file.
    • If there is any invalid data, the website will tell you and not upload the matches.
    • If the data is all valid, it will ask you to finish the bulk load by clicking "Load".
    • The matches will NOT be loaded if the data is invalid, or you don't click the final "Load" button.

    Match Headers and Values

    Below is a list of possible headers to be entered in the Header Row. With each header is a list of possible values. The headers and the values must be exact for the matches to load. Fields that should be uploaded and their valid values:
    • Date - Use the EXCEL function =TEXT(date, "MM/DD/YYYY") to get the correct format
    • Time - Use the EXCEL function =TEXT(time, "HH:MM") to get the correct format
    • Field - Must match exact name of field (e.g. Beaver Lake Park 3B)
    • League - Must match exact name of league (e.g. Rec)
    • Club - Bellevue, Eastside FC, Issaquah, Lake Hills, Mercer Island, or Newport
    • Gender - G, B
    • Level - U08, U09, U10, U11, U12, U13, U14, U15, U16, U17, U18, U19, 3rd Grade, 4th Grade, 5th Grade, 6th Grade, 7th Grade
    • Division - 1, 2, 3, 4, A, B, C, Gold, Silver, Bronze
    • Season - Fall, Winter, Spring, Summer, Tournament
    • Home - Name of home team
    • Away - Name of away team
    Fields that can be uploaded:
    • Authority - EYSA, NPSL, Parks & Rec, RCL, US Club, WSYSA, WSYSA District II, WSYSA District III
    • Home ID - ID number of home team
    • Away ID - ID number of away team
    Fields that generally don't get uploaded since the system has logic to set them:
    • Status - Normal, Cancelled - Defaults to Normal
    • Rank - 0 to 25 - Set by website based on Level and League
    • Ref Status - Open, Accept, Turnback, Unconfirmed - Defaults to Open
    • Ref Method - Self-Assign, Manual, None - Defaults to Self-Assign
    • AR1 Status - Open, Accept, Turnback, Unconfirmed - Defaults to Open
    • AR1 Method - Self-Assign, Manual, None - Set by website based on Level and League
    • AR2 Status - Open, Accept, Turnback, Unconfirmed - Defaults to Open
    • AR2 Method - Self-Assign, Manual, None - Set by website based on Level and League
    • 4th Status - Open, Accept, Turnback, Unconfirmed - Defaults to Open
    • 4th Method - Self-Assign, Manual, None - Set by website based on Level and League
